Parish Council minutes November 2014

Pastoral Council Meeting - Church of the Holy Trinity

November 18, 2014

In attendance were, Deacon Lyn, Father Coning, Father Tomson, Karen McDonnell, Dave Schaub, Mark Capuano, Dave Weiland, Margaret Gursky, Paula Cush, and Mark Cush.  Rick Cercone had been excused.  Dave Weiland opened in prayer, and Paula brought cookies!

We briefly considered the Question of the Week, "In what ways could we be more faithful to the gifts we have received from the Holy Spirit in our lives?", and then approved the minutes from the last meeting. 

Building Committee Update

Members of this committee are continuing to meet with local architects and engineers as some very basic and preliminary sketches are developed and considered.  Some considerations have been made, including keeping seating under 300 and avoiding a balcony area, so as to avoid costly state code requirements.

Census Survey Update

The survey is essentially complete, with 288 families responding.  Attempts will be made to contact the last 35-40 names on ours lists, as we do not wish to inadvertently exclude anyone.

Missions Reports

Maintenance:  Dave Schaub advised us of the need for some minor plumbing repairs, and is looking for a skilled individual to perform these tasks.  He also told us that last year's snow removal company has been awarded the contract for this winter as well.  Their excellent work and good price were impossible to beat. 

Social Justice: Margaretinformed us thatthe annual collection of gloves, mittens, and other winter items for elementary students at Tusky Valley begins this week.  December 13th is the distribution date for these items, so items should be collected by the week of the 7th.  Karen also reminded us that February is the month of our annual food pantry collection.

Worship:  John and Edith are planning the music for our Masses on Christmas Eve, as well as the weekends in December.  this year the folk Choir will sing at the 6 PM Mass and the Traditional Choir at the 9 PM Mass on Christmas Eve.  There are no Masses scheduled on Christmas Day at Holy Trinity.

Finance:  The Finance Council will present a fiscal summary and projected budget to the entire parish some time after the first of the year.  Preparations are being made to preview these projections at the December Parish Council meeting.  Lyn advised us that we are continuing to meet our budget and pay all of our bills.  A simple "E-Offering" system is being considered for 2015.  We should soon be receiving a final response to our grant requests from the diocese. 

Old Business:

Volunteer Coordinator:  Kathy Morris is off to a great start in this very important role as Co-volunteer Coordinator, and Amy Rowland will soon join her in this position.     

Work on Mary's Garden has been completed.  The final bill was $500, as estimated.  Extra monies collected for this work will be applied to improvements such as additional lighting, landscaping and installing a base for her statue in the spring.  "Blessings" to all who contributed.   

The Trunk or Treat event, which was by all accounts a great success, also raised some concerns regarding potential conflicts with the annual Day of Remembrance.  This reminded us of the need to establish a procedure for scheduling these ad-hoc events which come up throughout the calendar year.  An Event Planning Form or similar tool was suggested by Mark Cush.

Dave Schaub is investigation additional security measures for the office, including security cameras and an improved buzz-in system.  These ideas will initially be brought up with Guardian Systems and Interstate, who are currently providing fire and security services. 

We were also advised of the need to document and develop a preventive maintenance system and schedule, as our some items with the current property maintenance lack such definition and organization.

Last month's Blood Drive collected a total of 18 pints, which is a very good response from the parish.

New Business:

Questions and concerns have been raised with regard to the decision to hold weekly bulletin distribution until after Mass.  Although it is true that they can often be a distraction during Mass, it was pointed out that they can be a source of prayers before Mass as well.  The office will consider this. 

The final numbers for this year's Fall Dinner are not in yet, but early reports suggest it was a huge success. 

Dave Weiland and Deacon Lyn led a discussion of the new missions and committee categories for 2015.  It was suggested that, as the number of mission categories is reduced and redefined, perhaps two council members assigned for each mission would be appropriate.  We will continue to discuss this topic at the next meeting, which will be on Tuesday, December 16th at 7:00PM.
